How We Review Software

Every recommendation on PracticeSignal is grounded in real practitioner experience. Here's exactly how we research, evaluate, and maintain our buyer's guides.

Evidence-Based, Not Opinion-Based

We don't assign star ratings based on gut feel. Every claim in our reviews is backed by practitioner evidence: verified user reviews, forum discussions, vendor documentation, and published pricing.

When we say “practices report slow customer support,” we've read dozens of reviews saying exactly that. When we compare pricing, we pull from published pricing pages and confirmed user reports, not estimates.

Where Our Data Comes From

For each software product we review, we analyze:

  • G2 verified reviews — the largest B2B software review platform, with identity verification
  • Reddit communities — r/dentistry, r/veterinary, and profession-specific subreddits where practitioners share unfiltered opinions
  • Professional forums — DentalTown, VIN, and other practitioner-only communities
  • YouTube walkthroughs — product demos and user experience videos
  • Vendor documentation — official feature lists, pricing pages, integration guides, and support documentation

Each review page discloses the number of sources analyzed (e.g., “based on 147 practitioner reviews across G2, Reddit, and DentalTown”).

What We Evaluate

Every product review covers the same dimensions so you can compare apples to apples:

  • Core workflow fit — does it handle the daily operations your practice needs?
  • Pricing transparency — published pricing vs. “contact sales” opacity, hidden fees, contract terms
  • Data ownership — can you export your data? In what format? How painful is migration?
  • Customer support — response times, quality, and consistency based on user reports
  • Integration ecosystem — imaging, patient communication, billing, and third-party tools
  • Practice size fit — solo practice, small group, multi-location, or DSO

How We Stay Current

Software changes fast. Every review page shows a “last verified” date, and we re-verify our highest-traffic pages monthly. When vendors release major updates, pricing changes, or new features, we update the relevant guides within days.

If you spot something outdated, let us know — we take accuracy seriously.

Our Business Model (Full Transparency)

PracticeSignal earns revenue in two ways:

  • Affiliate commissions: Some vendors pay us a commission when you sign up through our links. This is disclosed on every page where it applies.
  • Lead generation: When you request a demo through our site, the vendor may pay us a referral fee. You always consent explicitly before we share your information.

These relationships do not influence our recommendations. We regularly recommend products that don't pay us commissions, and we've published critical reviews of products that do. Our editorial independence is non-negotiable — without it, we're useless to you.

Editorial Independence

Our commitment

Sponsored content is always clearly labeled. Editorial reviews are never influenced by advertising relationships. If a vendor approaches us about sponsorship, that relationship is disclosed and the editorial assessment remains independent.

Annual Award Badges

Each year, we recognize the top dental software in 8 categories based on our review methodology. Winners receive a “Best [Category] 2026” badge they can display on their website.

Award selection follows the same evidence-based process as our reviews. We evaluate:

  • Practitioner satisfaction — weighted average of G2, Capterra, and Software Advice ratings, with more weight given to platforms with verified reviewer identity
  • Community sentiment — analysis of Reddit and DentalTown discussions, weighted toward posts from the most recent 12 months
  • Category fit — how well the product serves the specific use case (small practice, multi-location, cloud migration, etc.)
  • Pricing and value — total cost of ownership relative to the category, including hidden fees and contract terms
  • Data portability and vendor lock-in — can you leave? How painful is migration?

No vendor pays for awards. Badges are valid through December of the award year. Vendors who wish to display a badge must opt in and accept our badge terms, which include linking back to PracticeSignal and acknowledging that the award is based on independent editorial methodology.
